Thank you for participating in the Humber Renewables Awards. This privacy policy outlines how we collect, use, disclose, and protect your personal information when you use this website. By participating in the competition, you agree to the terms and practices described in this policy.

Humber Marine and Renewables is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified (“personal information”) when using this website, then you can be assured that it will only be used in accordance with this privacy statement. We take the protection of your confidentiality and privacy seriously.

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us. However, if you wish to withdraw consent to processing your personal data, please do so by emailing: humberevents@icloud.com.

Data Controller

For purposes of the applicable Data Protection Laws, Humber Marine and Renewables is the “data controller” and responsible for your personal data (collectively referred to as Humber Marine and Renewables t/a Humber Renewables, “we”, “us” and “our” in this policy. This means that Humber Marine and Renewables determines the purposes for which, and the manner in which, your Data is processed.

1.1. Participant Information:

Nominating Individual. The name, address and contact email – this may be a work email address (if nominating on behalf of an organisation) or a personal email address so that we may contact them for any queries relating to the nomination. We also collect information within the submission which may contain other data about the nominator.

  • If we want to use this personal information from the nominating person for a reason other than those purposes set out above, we will tell them before we start that use and provide further information about the new purpose(s), including establishing the legal basis for doing so, which may include seeking consent

Nominee information

  • The nominee’s name, contact address or email address (as provided to us) so that following receipt of nominations, we can contact all nominees to confirm their availability and willingness to be part of the competition and that they are happy to be nominated, that they are happy for Humber Marine and Renewables to process this information and confirm if they wish to add anything else to or correct their personal data within the submission made by the nominator.
  • If we want to use the personal information of nominees for a reason other than those purposes set out above, we will tell them before we start that use and provide further information about the new purpose(s) including establishing the legal basis for doing so, which may include seeking consent.

Following receipt of nominations, we will contact all nominees to:

Seek the nominees permission to continue to use and process their personal data within the nomination submission for the purposes of the competition or the event and confirm if the nominee wishes to add anything else to the submission or if any corrections need to be made in connection with the accuracy of the personal data. If we do so we will share it with the nominator and/or the nominee, as applicable.

1.2. Submission Materials: 

Information included in your awards submission, such as project details, images, and any other supporting materials, will be collected for evaluation purposes.

2. Who we give your personal information to: 

We will not pass your information within the nomination to any other organisation except to our judges on the panel for the purposes of judging the nomination or where required to do so by law.

3. Where your personal information will be stored: 

Your personal information will be stored securely within the UK & EEA and will not be transferred outside that territory unless required by a court order. The information collected from nominators is collected using a website supplier called Version Two/Evessio platform.. Information collected is stored on secure servers in the UK & EEA.

4. How We Use Your Information:

4.1. Competition Evaluation: The information collected will be used for the purpose of evaluating your participation in the awards competition.

4.2. Communication: We may use your contact information to communicate with you regarding the competition, including updates, announcements, and results.

4.3. Publicity: Winning entries may be publicised on our website, social media, or other promotional materials, and may include your name, brief details of why you’ve been shortlisted and images.

5. Data Security:

5.1. We implement reasonable security measures to protect your personal information from unauthorized access, disclosure, alteration, and destruction.

6. Third-Party Disclosure:

6.1. We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except for the purpose of conducting and promoting the awards competition.

7. Your Choices:

7.1. You have the right to update, correct, or withdraw your personal information by contacting us at: humberrenewables@icloud.com.
Once consent is withdrawn, we will destroy the nomination and submission and all relevant personal information unless we are relying on a different legal basis to justify keeping your personal information. If that is the case, we will tell you in writing. However, withdrawing your consent does not affect the lawfulness of processing based on consent before you withdrew consent.

7.2. If you wish to opt out of receiving communication from us, you can do so by following the instructions provided in the communication or by contacting us directly.

8. How long we will hold your personal information:

We will keep a copy of your personal information for as long as it remains necessary for the purpose(s) for which it was initially collected. The personal information you provide will be retained for a period of one year from the date of the event. After this timeframe, we will ensure the confidential and secure disposal of your personal information.

9. Children's Privacy:

9.1. The competition is not directed towards individuals under the age of 18. If you are a parent or guardian and believe your child has provided us with personal information, please contact us.

10. Complaints about the use of your personal information

If you are unhappy with the way in which your personal information has been handled by Humber Renewables Awards, please contact us immediately using the email humberrenewables@icloud.com and we will try to resolve your issue informally.

If we are not able to resolve the issue to your satisfaction, you can also make a complaint to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk).

We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.

11. Changes to the Privacy Policy:

11.1. We reserve the right to update and modify this privacy policy at any time. Any changes will be effective immediately upon posting the updated policy on our website.
